Interlibrary Loan (ILL) obtains material not currently available at UTPA library, and provides materials from UTPA collection to all eligible requesting libraries. We loan material to all current students, faculty, emeritus faculty, staff, retirees, visiting scholar, President's Circle, and Lifetime and Gold-Member Alumni. Our policies are based on the National Interlibrary Loan Code. Interlibrary Loan will not obtain material for people who have outstanding Interlibrary Loan items such as lost book fees or overdue material.

Making a request
When filling out the Interlibrary Loan request form, it is important that you fill out all of the lines completely. Avoid using abbreviations when filling out the form. The more information you supply on the request form, the faster your request can be processed. Incomplete requests will be delayed. There is no limit to the number of requests you can make.
It is important to plan ahead when requesting material from Interlibrary Loan because the normal turnaround time for filling a request is 2 weeks. We process all your requests as quickly as possible. Receiving of all the materials are dependent on the lending library's workload, policies, and other factors.
You, the borrower, are responsible for any replacement, damages, and overdue charges assessed by the lending library for Interlibrary Loan materials.
Library resources that can't be borrowed
ILL requests material in a variety of formats. However, items that are not generally available via Interlibrary Loan are:
- Reference books
- Books on reserve
- Recently published books
- Non-circulating material
- Books that the UTPA Library owns
Note: Items owned by UTPA that have been declared missing, lost, or damaged can be requested through ILL. Items that are checked out by another patron can also be requested.
Pick up and return of material
ILL materials need to be picked up at the Circulation desk. The Circulation desk closes 15 minutes before the Library closes. Any fees must be paid when the materials are picked up. Books borrowed through Interlibrary Loan can be returned at the Circulation desk or at the book drop box by the North entrance of the Library. Patrons with overdue books will have a block placed on their ILLIAD account. Once the overdue item is returned, the block will be removed Monday through Friday, 8:00am - 5:00pm. Articles are delivered electronically through your ILLiad account. Upon request UTPA faculty can have their materials delivered to their department.
You can request a renewal through your ILLiad account. Renewals may be granted in some cases if the renewal is requested several days before the due date. The decision to renew a loan is up to the lending institution.
Fees for books
Many libraries charge fees for materials they loan to other institutions through ILL. We strive to obtain the materials through libraries that have agreed to provide materials at no charge. However, if the lending library will charge UTPA to borrow a requested item, the patron will be contacted to approve the charges and make arrangements for payment. Patrons are responsible for all charges associated with ILL requests, even if requested items are not picked up.
Fees for journal articles
Patrons receive article copies free of charge if the lending library does not charge. If the lending library levies additional charges, ILL passes these charges on to the requesting patron.
In accordance with the Copyright Compliance Act, ILL will order no more than 5 articles from a given journal before passing on the copyright costs to the patron. If we as an institution have already ordered 5 articles from the same journal, the 6th and subsequent articles will have copyright fees that will be charged to the patron. These fees go to the Copyright Clearance Center, not to the Library.
The status of your request
It takes up to 2 weeks to receive ILL materials. Patrons are able to check the status of their requests through their ILLiad accounts.
You cannot check out material if you have overdue materials or fees from ILL or the UTPA Library. If you do not pick up material that has charges associated with it, the Library will place a “hold” on your record until you pick up the material and pay for it.
